About the Role

We are seeking a highly organized and experienced Secretary to provide comprehensive administrative and secretarial support to our Litigation attorneys in a fast-paced legal environment. This role requires exceptional attention to detail, strong organizational skills, and the ability to manage multiple priorities efficiently. You will be a proactive team player with excellent communication skills and a commitment to delivering high-quality work and outstanding client service.

Primary responsibilities include:

  • Draft, format, and proofread legal documents, pleadings and correspondence in accordance with the firm's style guide
  • Incorporate amendments and prepare blacklines of documents
  • Manage calendars, schedules, and diary commitments for attorneys
  • Prepare hearing bundles (physical and electronic)
  • File documents with Court using Curia
  • Conduct CORIS searches
  • Ensure accurate filing, record keeping, and document organization
  • Coordinate travel arrangements with the firm’s travel provider
  • Assist with organizing marketing trips and client events including itineraries, meeting notes and maps
  • Assist with monthly billing procedures
  • Open new matters in InterAction
  • Manage the closing and archiving of files
  • Maintain and update attorney contact lists
  • Liaise with Collections Team regarding outstanding invoices
  • Liaise with Audit Confirmations Team for audit requests
  • Liaise with Conflicts Team for conflict searches
  • Provide ad hoc support such as IT troubleshooting and document retrieval

EXPERIENCE

What You Bring

In addition to indisputably high ethical standards, the ideal candidate possesses the following:

  • At least 5 years’ secretarial experience, preferably in a law firm environment
  • Proficiency with Microsoft Office (Word, Excel, PowerPoint) and Adobe
  • Experience with electronic document management systems (e.g., iManage), InterAction, and other legal software (Litera, CORIS, Visio)
  • Experience with time recording and billing
  • Strong writing, formatting, and proofreading skills with excellent attention to detail
  • Ability to prioritize and manage multiple tasks under pressure
  • Ability to work independently with minimal supervision
  • Strong interpersonal and teamwork skills
